BOARD MEETING MINUTES – June 1, 2011

CALL TO ORDER: Colleen Comber called the meeting to order at 7:37pm.

AGENDA:

Where we will hold our next Specialty?  
Recently the Specialty has been held at the Orange Empire Dog Show. Some people have been
asking if the club can hold the next specialty at the Mission Circuit shows. There were discussions
and opinions on different shows to hold the specialty including Orange Empire, Mission Circuit, one
of the Bates Nut Farm shows, ACDC, Palm Springs and Pasadena.
Kathy Smith proposed that the board make 2 or 3 choices and take it to a vote with the general
members. The board decided that Orange Empire and Mission Circuit would be two options
proposed to the members at the next general meeting. Dale Van Camp proposed that we discuss
third options at the next general meeting before taking a vote.
Paperwork for the specialty has to be ready 18 weeks before a show. Judge selection will not be
discussed until a date and location of the specialty is decided.
There were discussions on choosing a show chairman. Dale said she would be show chairman with
the stipulation that she picks her own team. Kathy moved to choose Dale Van Camp as Show
Chairman. The motion was seconded by Doreen Blank. Nobody opposed and the motion was
passed.

An up-date or face-lift to our web site.  
Dale Van Camp was contacted by Lisa Douris, our clubs website builder, to see if the club was
interested in her making changes to the website. She has a June special of $150 to add additional
information, photos and to change colors/fonts etc. All agreed that this task was now being well
handled by club member Mark Burhart and the club would not take up Lisa’s offer.
National Animal Alliance
Kathy Smith received a letter from the National Animal Alliance. They want donations and are asking
if the club would be interested in sending delegates to their conference on November 12-13, 2011.
The cost is $150 per entry.  The board was not in favor of donating, or sending delegates to the
conference.
Taxes
Dale Van Camp is still trying to file the club tax return and having issues with the website that the
club must use to submit it. Dale has been in contact with the IRS about the website issue and there
is currently no cause for concern.

Wee Doggie Tales Editor
Dale Van Camp asked someone to volunteer to be the editor for the Wee Doggie Tales. It was
decided that Mark Burhart be asked if he would volunteer.

Storage Shed for Club property and documents.  
Pat Campbell and Dale Van Camp need the space back in their garage that is being used to store
club property.
Dale Van Camp proposed that the club rent a storage shed. She suggested a site near the clubs
PO Box in Tustin, called Tustin self-storage. A 4x4 shed can be rented for $49 per month and the
first month is a $1.
Kathy Smith said that the club only needs to store records. She suggested it would be more
economical to rent equipment as needed rather than storing it.
Doreen Blank suggested buying a shed and storing it at her house.
It was noted that the club constitution states that it is the responsibility of the officers to keep the
appropriate records and pass them on to the new officers in November.

The board decided that an inventory will be taken of all club property kept by club members. Club
members that have club property shall bring an item list to the next general meeting. At the next
general meeting there will be further discussion of what to do with the items in the inventory. As per
the constitution, officers will keep their records and pass it on to the new officer in November.
Records must be kept for five years.

Change the venue of the General meetings.  
It has been proposed that general meetings be held once a month at a show.
Dale Van Camp mentioned that the biggest complaints about the General Meeting being held at
Marie Calendar’s is that members cannot hear and the expense of meals.
Kathy Smith suggested that the club has a summer hiatus in July and August. During this hiatus the
club could hold a match. Dale Van Camp suggested that if we have fun matches then can have a
meeting during the match.
Kathy Smith motioned to have a July and August hiatus and return to general meetings at Marie
Calendars the following month. The motion was seconded by Pat Campbell. The motion was passed
and adopted by the board. This motion requires ratification at the next general meeting.

ADJOURNED: Doreen Blank motioned to adjourn the meeting and Pat Campbell seconded. The
meeting was adjourned at 8:23pm.
